Coastal Carolina University is currently accepting applications for one full-time position: Administrative Assistant for Comm, Media, Culture & History for the College of Humanities and Fine Arts.

Preferred Qualifications: Administrative support experience.

Administrative Assistant (AA75/61121911/FTE-S01182P), full-time position with benefits. SC State Pay Band Gen06. Salary range: $37,200.00 (minimum) – $48,300.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.

Duties include, but not limited to:

Plans, coordinates, and performs all standard management support services for two departments: Communication, Media and Culture and History. Standard management support services for the two departments include, but are not limited to, scheduling department meetings; making room reservations; assisting in planning and organizing program events; coordinating and executing catering orders; managing the schedules and calendars for both department chairs; keeping, filing, and distributing records and meeting minutes; monitoring paperwork routing to various campus offices. Serves as the liaison to student and faculty in both departments and as first point of contact for external visitors to the two departments.

Supports both department chairs in all fiscal matters and procurement. Monitors and tracks the budgets and spending for the departments. Assists the department chairs in budget planning and setting sustainable budgets, provides budget reports, and tracks all spending in close cooperation with the chairs and the College’s Business Manager. Prepares all purchase requisitions, processes and places orders, and plans the ordering of the departments’ supplies from on-campus and commercial entities.

Coordinates and plans all travel and paperwork for external visitors, including job candidates and visitors to the departments. Schedules and books flights and hotels, assists search committees in planning schedules for campus visitors and coordinates all communication with external visitors. Monitors and routes all travel authorizations for faculty and staff in the two departments.

Assists the department chairs in all personnel actions, including, but not limited to, searches and preparation of hiring paperwork for incoming faculty and instructors, dual employment and personnel action items, moves and separations. Performs all department-level personnel action duties and prepares, monitors, and tracks all paperwork routed for processing to Human Resources.

Coordinates and plans all student worker hiring for the departments. Works closely with the department chairs to set the budgets for the student workers and advertises, recruits, and coordinates the student workers’ schedules. Monitors faculty and staff student worker supervisors in maintaining budgetary compliance and timely approval of hours worked.

Knowledge of the principles, policies, and practices of office management. Ability to communicate effectively in writing and orally. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to deal courteously and effectively with the public. Ability to exercise judgement and discretion in interpreting and applying policies and procedures. Excellent computer skills and office software.
