Job Description
JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Accounting Assistant provides support for the College of Nursing (CON) business functions to include payroll, accounts receivable, accounts payable, contracts, purchasing, and inventory. This position serves as the first point of contact for processing financial documents through the college and ensures that financial transactions related to the College of Nursing are properly processed.Responsibilities
Prepares invoices and verifies supplies received or services provided; charges appropriate accounts and enters into DASH/Oracle; maintains account expenditure files.
Enters purchasing information in DASH/Oracle, to include but not limited to creating asset numbers, purchase requisitions, purchase orders, time reports, and reconciliation of monthly procurement card expenses.
Prepares T-27 forms; prepares petty cash forms, prepares travel requests and reimbursements in DASH/Oracle for visitors, non-faculty staff and students.
Reconciles account files monthly with account expenditure reports printed from DASH/Oracle.
Processes service/affiliation contracts for college departments; maintains a tracking database for contracts (business and affiliation); serves as the liaison between the contracting organization, Contracts Office, Legal Office and the college to address contract issues.
Orders supplies from vendors and maintains account expenditure files; prepares annual equipment and space inventory for the CON.
Coordinates work orders to include telephone line changes and office moves; submits work order requests for facilities and housekeeping and works order requests to IT for CON computer/network issues as needed.
Maintains business, contracts and payroll files.
Works closely with the College of Nursing Assistant Dean of Finance and Administration and Business Manager to ensure activities are in accordance with UT policies and procedures and within budget.
Performs other duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of business experience to include accounts payable and payroll; OR an Associate’s Degree and two (2) years of business experience to include accounts payable and payroll.
